Terms & Conditions

Last updated: 6 October 2026

These Terms & Conditions ("Terms") govern access to and use of VeriEasy, the document version control and e-signature service made available at verieasy.co.uk and app.verieasy.co.uk (the "Service"). The Service is operated by Max Impact Services Limited, a company registered in England and Wales under company number 09707999 ("we", "us", "our").

By creating an account, or by opening a link to view or sign a document shared through the Service, you agree to be bound by these Terms. If you do not agree, do not use the Service.

1. The Service

VeriEasy lets account holders ("Account Holders") upload documents, maintain a version history with change notes, organise documents in folders and with tags, and share documents with other people ("Recipients") for reading and, where enabled, for electronic signature. The Service records an audit trail of relevant activity (such as sending, viewing, reading and signing) against each document.

2. Acceptable use — conditions of use

These conditions apply to every Account Holder and to all content uploaded, shared, or distributed through the Service. They are a condition of your continued access.

  • Copyright and ownership. You must not upload, store, or distribute through the Service any document, image, text, or other material that is protected by copyright or other intellectual property rights unless you own that material, or you hold the necessary rights, licences, and permissions from the rights holder to upload, store, and distribute it through the Service for the purpose you intend. You are solely responsible for verifying you have those rights before uploading anything.
  • Lawful content only. You must not upload, store, or distribute through the Service any content that is illegal, or that infringes the rights of any third party, under the laws of the United Kingdom, the European Union (or any of its member states), or the United States of America. This includes, without limitation, content that is defamatory, obscene, discriminatory, that facilitates fraud, that infringes privacy or data protection rights, or that is otherwise prohibited by applicable law in any of those jurisdictions.
  • You must not use the Service to distribute malware, to harass or impersonate another person, to attempt to gain unauthorised access to the Service or any other account, or to interfere with the Service's normal operation.

Enforcement. We reserve the right, at our sole discretion and without prior notice, to suspend or permanently cancel any account that we reasonably believe has violated these conditions, to remove or disable access to the offending content, and to take any other action we consider appropriate, including reporting the matter to the relevant authorities. We are not liable for any loss arising from such suspension or cancellation.

3. Accounts

You must provide accurate registration information and keep your login credentials confidential. You are responsible for all activity that occurs under your account, including activity by other users you invite into your organisation. Tell us immediately if you suspect unauthorised access to your account.

4. Electronic signatures and reliance on the Service

The Service allows a Recipient to confirm they have read a document and, where enabled, to apply a typed electronic signature. The Service records the signer's typed name, the time of signing, and a cryptographic fingerprint (hash) of the exact document version signed, as evidence of that action. This is intended to provide a reasonable audit trail of reading and sign-off; it does not, by itself, constitute a qualified electronic signature under eIDAS or an equivalent scheme in any jurisdiction. You are responsible for deciding whether the signature evidence the Service produces is adequate for your particular document and circumstances, and for obtaining appropriate advice where a qualified or notarised signature is legally required.

5. Your content

You retain ownership of the documents and content you upload ("Your Content"). You grant us a licence to host, process, transmit, and display Your Content solely to provide the Service to you and the Recipients you choose (for example, rendering a document for a Recipient to view, or generating the audit evidence described above). We do not claim ownership of Your Content and we do not use it for any purpose outside operating the Service, except as described in our Privacy Policy or required by law.

6. Our intellectual property

The Service, including its software, design, branding, and the VeriEasy name and logo, is owned by us or our licensors and is protected by intellectual property laws. Nothing in these Terms grants you any right to use our branding except as needed to use the Service as intended.

7. Plans, billing, and limits

The Service is offered on the plans described on our pricing page, including a free tier and paid tiers with higher user and document limits. Paid plans are billed in advance on a recurring basis until cancelled. Fees are shown exclusive of any tax that may apply. You can change or cancel your plan at any time from your account; changes to limits take effect as described at the point of change.

8. Suspension and termination

Besides the acceptable-use enforcement in section 2, we may suspend or terminate access to the Service for an account that is in material breach of these Terms, or where required to comply with the law. You may close your account at any time. On termination for any reason, your right to use the Service ends; we may retain data for a reasonable period as described in our Privacy Policy, including where retention is needed to preserve an audit trail already relied on by a Recipient.

9. Service availability and disclaimers

We aim to keep the Service available and reliable but do not guarantee uninterrupted access. The Service is provided "as is" and "as available". To the fullest extent permitted by law, we exclude all warranties, express or implied, as to the Service's fitness for a particular purpose.

10. Limitation of liability

To the fullest extent permitted by law, we are not liable for any indirect, incidental, or consequential loss, or for loss of profits, revenue, data, or goodwill, arising from your use of the Service. Nothing in these Terms limits liability that cannot lawfully be limited, such as liability for death or personal injury caused by negligence, or for fraud.

11. Changes to these Terms

We may update these Terms from time to time. We will update the "Last updated" date above when we do; continued use of the Service after a change takes effect is acceptance of the updated Terms. If a change is material, we will make reasonable efforts to tell account holders directly.

12. Governing law

These Terms are governed by the laws of England and Wales, and the courts of England and Wales have exclusive jurisdiction over any dispute arising from them, without prejudice to any mandatory consumer-protection rights you may have in your country of residence.

13. Contact
